1. What an event management company does

What an event management company does

An event management company finds and books the entertainment your event needs, makes sure the stage and technical side work, manages the running order and handles problems on the day. Some companies plan the entire event from scratch. Others book performers while your venue or planner handles logistics. We do both.

For a corporate gala dinner in a Park Lane hotel ballroom, that means sourcing a jazz trio, arranging sound and lighting, timing speeches and entertainment, and being on site to cue performers and manage stage changes. For a wedding marquee in the Cotswolds, it means booking a band or DJ, checking power supply to the tent, managing noise limits with your venue, and staying through the evening to handle any technical issue or performer change.

The core skill is knowing what works in each venue type, what can actually happen in the time you have, what goes wrong and how to fix it fast.

2. Our services in London and beyond

Entertainment agency services across London and the UK

Bella Entertainment books performers for corporate events, private parties, weddings and private dinners. We manage stage, sound and lighting. We produce awards ceremonies, conference entertainment and gala dinners. We work in London and across the UK: Manchester, Birmingham, Edinburgh, Glasgow, Bristol, Leeds, Liverpool, the Cotswolds and country house venues.

For corporate clients we handle corporate entertainment, product launches, incentive dinners and conference entertainment. For private events we manage private party entertainment and weddings. We can hire musicians or hire dancers as part of a broader production package, or as the sole entertainment element.

Whether you need us to plan and run every detail or to step in as technical support alongside your own team, we size the role to what your event needs.

3. How to brief an event management company

How to brief us

Give us the date, venue name and town or city, guest count, event type and what you want entertainment to do. Say whether it is a seated dinner, standing reception, awards ceremony or dancing until late. Tell us your budget range if you have one, or say you are open to suggestions.

Include any hard limits: noise curfews (many London venues and country houses have 11pm curfews, some earlier), stage size, power availability, loading access. If your venue requires PLI insurance or a risk assessment from the entertainment supplier, let us know upfront so we factor that into sourcing.

Ceilings matter. A warehouse venue in East London with 15-foot ceilings can take a live band and full lighting rig. A hotel function room with 8-foot ceilings needs a stripped-back setup. We need to know what you have got.

Send this information through our contact page or email [email protected]. We quote within 24 hours on most dates.

4. Stage management and technical production

Stage management and technical production

Stage management is the invisible craft that makes an event look smooth. It means the stage is set before guests enter, microphones work, speakers are cued on time, performers know where to stand, lighting changes on cue, and any technical glitch gets fixed before your audience notices.

Many corporate events run multiple speakers and live entertainment across several hours. A livery hall in the City, for example, might host a morning conference with presentations, then entertainment during the lunch break, then more speakers in the afternoon. Each shift needs different staging, sound check and cueing.

We manage the run sheet, call performers to stage, check sound levels before the event starts, brief speakers on microphone technique, and stay at the technical desk or stage area during the event to handle timing and any change that comes up. If a performer needs to adjust their set length or a speaker runs over, we manage the knock-on effect to the rest of the day.

For live bands and DJs, we confirm stage dimensions, power supply, WiFi for backing tracks, monitor wedges for performers to hear themselves, and line check times. For smaller setups we may provide our own portable PA system. For larger productions in bigger venues we work with the venue's technical team or a specialist AV contractor they use regularly.

5. Venues we work with across the UK

Venues we work with across the UK

In London we regularly work with hotel ballrooms in Mayfair and Park Lane, City livery halls, warehouse venues in East London, smaller function rooms in central London hotels, private dining clubs, and museum spaces. We also manage entertainment in Thames-side venues and marquee events at private gardens.

Outside London we have experience with country house venues, barn conversions, marquee installations on private land across the Cotswolds and Home Counties, hotel conference suites in Manchester, Birmingham, Edinburgh, Glasgow, Bristol and Leeds. Each venue type has different constraints.

Venue typeTypical constraintsWhat we confirm early
Hotel ballroom (London)11pm curfew, 8-10ft ceiling, neighbors above or adjacentNoise limits, loading bay access, stage size available
City livery hallStone acoustics, no nail or screw damage, restricted setup hoursLoad-in window, sound system available, speaker briefing time
Warehouse venueHigh ceilings, often no built-in sound, long load-in possiblePower supply (amps available), lighting rigging points, floor surface for stage
Country house10-11pm curfew, distance to nearest neighbors, outdoor elementsWeather contingency, generator capacity if off-grid, parking for crew vehicles
Marquee (garden or field)Weather, generator or site power, ground conditionsTent specification (height, cable runs), camping/crew welfare, noise path to neighbors
6. Lead times and booking

Lead times and availability

For corporate events we typically need four to six weeks notice to source entertainment, confirm availability and complete technical planning. For weddings and large private events six to eight weeks is safer, especially if you want a specific performer type or have complex requirements.

Popular dates (late spring through autumn, December and weekends) book up early. If you have a date in mind, contact us even if it feels soon. A wedding band or live DJ might be booked six months ahead in August or September, but we often have cancellations or can suggest alternatives with shorter lead times.

Set lengths vary by event type. A corporate gala dinner entertainment set is usually 45 to 60 minutes. A wedding band plays from 8pm to midnight or later with breaks. A conference break entertainment item runs 15 to 30 minutes. We work within your schedule and brief performers exactly how long they have.

7. Pricing and how it works

Pricing and how it works

Event entertainment pricing depends on performer type, duration, venue location, technical requirements and the distance our team travels. A solo musician or DJ for a private party in London ranges from around 400 to 800 pounds. A live three-piece or four-piece band ranges from 1,200 to 2,500 pounds depending on experience and genre. A full production event with multiple acts and stage management costs more, and we quote based on your specific needs.

Travel costs outside London are passed through at cost. If a performer or technical team member travels to Manchester or Edinburgh, that journey adds to the total.

PLI insurance (public liability insurance) is included in our quote where our team operates the technical production. Some venues require insurance certificates before the event date, so we factor in admin time to provide those.

Send us your date, venue, guest count and what you want entertainment to do, and we provide a fixed quote within 24 hours. If you want to see options at different price points we can suggest those too.

What makes an event management company different from hiring a musician directly?

A booking agency handles contracting, insurance, technical setup and day-of-event management. If a performer cancels, we find a replacement fast. If stage setup takes longer than expected, we manage the knock-on effect. If a speaker runs over and eating runs late, we adjust performer timing to fit. A direct hire often cannot offer that flexibility.

Do you work with event planners or do we need to hire you direct?

We work with both. If you are an event planner or a venue's events team booking entertainment on behalf of clients, we work alongside you. You might handle overall event logistics while we source and manage entertainment. We can also work direct with corporate clients, couples and private hosts who need entertainment and have no planner in place.

What if the venue does not have a stage or sound system?

We can source a portable stage, sound system and lighting from specialist suppliers we work with. That adds to the cost and requires space, power and load-in access. Tell us what your venue has and we will advise what else needs to be hired and how much that costs as part of your quote.

How far in advance do I need to book?

Four to six weeks is standard for corporate events. Eight weeks or more is better for weddings, especially in peak season. If you need something sooner, contact us anyway. We often have availability or alternatives available with shorter lead times.

Can you organize entertainment for a hybrid or virtual event?

Yes. We book performers for virtual background entertainment, produce content filmed specifically for a hybrid event, and manage technical production if entertainment is broadcast alongside in-person guests. That requires different setup so brief us that it is a hybrid or virtual event at the start.

What insurance or risk assessment do we need?

Most UK venues ask for a copy of the entertainment supplier's PLI insurance certificate. Some venues, especially larger ones or those with strict health and safety policies, ask for a risk assessment covering stage setup, performer movement during the event, and any pyrotechnics or special effects. We provide both as standard, or confirm your venue's requirements upfront so we source performers who meet those standards.

To get a quote, send your date, venue name and town or city, guest count and event type through our contact form or email [email protected]. We quote within 24 hours and can often arrange a call to discuss your ideas the same day.
