1. What to expect when you hire a pianist

What to expect when you hire a pianist

A professional pianist brings live music to your event with minimal fuss. The performance is flexible. They can play background music during dinner, cocktail hour or a reception, or take centre stage for a concert-style set. Most pianists prepare a song list in advance so you get exactly the style and songs you want. They arrive early to soundcheck and take care of their own setup. A typical booking is two to four hours, though shorter and longer sets are available.

What makes the difference between a good hire and a poor one is communication. Tell the pianist the mood you want, the venue layout, what songs matter to you, and any curfew or noise limits. Most cancellations and disappointments happen because the client did not mention a restriction or the pianist was not told the venue is a riverside hotel ballroom in Mayfair with low ceilings and thick carpets, not an open warehouse.

2. Pianists for weddings in London

Pianists for weddings in London

Wedding piano hire is one of the most popular uses. A pianist adds romance and formality. They work well during the ceremony itself (if your venue allows it), the reception drinks, dinner and evening entertainment.

In London, venues range from intimate restaurants in Soho and Fitzrovia to grand hotel ballrooms in Park Lane, Mayfair, South Kensington and Knightsbridge, to City livery halls and warehouses in Shoreditch, Hackney and East London. Each has different sound and space. A pianist at a small restaurant dinner set works solo; a large ballroom may benefit from a pianist who can also work with a DJ or a band. We can match the right act to your space.

Weddings outside London are just as common. Country house venues in the Cotswolds, Surrey and Sussex often have a good piano on site. Marquee weddings need a portable piano or keyboard (electric pianos are lightweight and reliable). Thames boat venues have tight space and noise limits because of river bylaws. We know these constraints and book pianists who work within them.

For a wedding, book four to six weeks ahead if you can. Popular pianists fill up quickly in May, June and September.

3. Corporate event piano hire

Corporate event piano hire

Corporate clients book pianists for gala dinners, award ceremonies, product launches, conferences and client receptions. The music sets a professional tone. A pianist playing classical or easy-listening standards in the background allows conversation without competing noise.

Hotels in the West End, City and Canary Wharf often have grand pianos in their event spaces. If your venue does not, we can arrange a portable piano or keyboard. Some corporate venues have strict noise limits: a hotel in a residential area of Knightsbridge, for example, may cap volume or set an 11 PM cutoff. Again, we confirm these when we book.

Lead time for corporate events is usually two to three weeks, though larger productions (conferences with multiple sessions) may need more planning. If you need a pianist who can also provide a playlist or DJ between live sets, we can coordinate that through our musicians in London network or corporate entertainment team.

4. Technical requirements and venue setup

Technical requirements and venue setup

Most venues in London and the UK can accommodate a pianist. The piano is the performer. It does not need to be wired to your event technology, though the pianist may ask for a microphone if the room is large or background noise is high.

If your venue has a grand piano (common in hotels, concert halls and larger restaurants), the pianist will use it. If not, we provide an electric piano. Electric pianos are portable, sound excellent through a small amplifier, and work in almost any setting: marquees, warehouses, gardens, boats.

Space needed: a full-size piano requires roughly 2.5 metres width and 1.5 metres depth plus enough room for the pianist to sit and move. An electric piano fits in a space as small as 1.5 metres by 1 metre. Most venues have this.

Power: an acoustic piano needs no power. An electric piano needs a single standard UK 13A socket. We bring extension leads if needed.

Sound: acoustic pianos are naturally loud. In a 50-person dinner room they sound full without amplification. In a 200-person ballroom or a garden, acoustic volume is often not enough, so we may add a microphone and small PA. In venues with noise restrictions (hotels near residential areas, Thames venues, some council-owned spaces), we use an electric piano which is quieter and easier to control.

Many venues now ask for public liability insurance (PLI) and a risk assessment, especially if the piano is on a raised stage or if the venue is in a listed building. Our pianists carry appropriate cover. We can provide evidence on request.

5. Pianists across the UK

Pianists across the UK

We book pianists across the UK, not just London. Common locations are Manchester, Birmingham, Leeds, Liverpool, Glasgow, Edinburgh, Bristol and the Cotswolds. We also cover smaller towns and country venues if there is a pianist local to you.

Travel costs may apply for venues more than 30 miles from central London. A booking in Bath or Oxford usually includes travel time and a mileage fee. A booking in Scotland or the North West may warrant a slightly higher fee or an overnight stay (to be discussed in your quote). Many pianists are happy to travel and often have regular gigs in specific regions, so travel can be nil or modest if your date and location suit them.

Curfews vary by region and venue type. London hotels typically allow music until 11 PM or midnight. Residential areas enforce earlier cutoffs. Country venues and wedding barns often have fewer restrictions. Marquee weddings in fields have no noise limit but riverside venues do. We know the local rules and only book pianists who can work within them.

6. What to tell us when you book

What to tell us when you book

To get a quote quickly and accurately, send us:

  • Event date and time (or flexible dates if you are still planning)
  • Event type (wedding, corporate gala, private party, hotel function, public event)
  • Venue name and town or city (so we know if it is London, the South East, or elsewhere)
  • Venue type (hotel, restaurant, warehouse, country house, marquee, boat, other)
  • Guest count or rough room size
  • How long you want the pianist to perform (or if you need continuous background music)
  • Musical style or song requests (classical, jazz, pop, Bollywood, specific composers or artists)
  • Any noise or curfew restrictions you know of

This information helps us match the right pianist to your event and gives us a clear brief for the performance. It also helps us spot any venue constraints early on, such as access (narrow staircase? loading bay?), power supply, or sound issues.

Common mistake to avoid: Booking a pianist based on price alone without confirming style or venue fit. A classical pianist trained at conservatoire level will deliver excellence but may not be comfortable with Bollywood medleys or pop covers. A versatile event pianist with jazz and pop training may not be the best choice for a formal classical wedding ceremony. We ask questions to match the person to the job, not just the budget to the slot.

Frequently asked questions

How much does it cost to hire a pianist?

Guide pricing in the UK is GBP 400 to 1,500 for a two to four hour booking, depending on the pianist's experience, the musical style, the length of performance, and travel distance. London-based pianists command higher fees than regional pianists. A classical concert pianist will cost more than a jazz or pop event pianist. Holiday dates and short notice may incur premiums. Always confirm the price in writing once we match you to a pianist.

How much notice do I need to give to hire a pianist?

Ideally four to six weeks for weddings and high-demand dates (May, June, September). For corporate events and private parties, two to three weeks is typical. If you need a pianist in two weeks, we will do our best but availability is not guaranteed and the choice may be narrower. Last-minute bookings (under one week) are rarely possible and prices may be higher.

Can a pianist play songs I request?

Yes. Most pianists work from a song list but can learn or improvise requests beforehand. Classical pianists can play a specific composer; jazz pianists can pick up pop songs; event pianists do everything from Beatles to Bollywood. If you have specific songs in mind, tell us when you book. If the request is very obscure or outside the pianist's style, they may need more notice to prepare or it may not be possible. Be clear about what matters to you.

Do you provide the piano or does the venue?

Many London venues (hotels, concert halls, restaurants) have a grand piano on site and the pianist uses it. If your venue does not have a piano, we provide a portable electric piano. If your venue has a piano but it is not maintained or suitable, we can arrange a hire piano (additional cost, usually GBP 50 to 150 depending on size and delivery distance). Confirm what your venue offers and we will advise on the best option.

What if my venue has a noise limit or curfew?

Tell us. We then book a pianist comfortable with that restriction and use an electric piano instead of acoustic if needed, so you can control volume. Acoustic pianos in a quiet room sound full without amplification; electric pianos let us turn the volume down. Many London hotels, residential venues and riverside locations have restrictions. We factor these in so your musician can play right up to your cutoff time without breaking any rules.

Do pianists need insurance or risk assessments?

Increasingly, yes. Hotels, listed venues and large events often ask for public liability insurance and a risk assessment. Our pianists carry appropriate insurance. If a venue asks for evidence, we provide it. If your venue asks for a specific level of cover or a particular risk assessment format, tell us early and we will confirm it with the pianist or arrange what is needed.
